Union member roster template
A clean, ready-to-use spreadsheet for your local's member list. Free to download in Excel or CSV.
What's in the template
The template has one row per member and these columns:
| Column | What to put in it |
|---|---|
| First name, Last name | The member's legal name, or the name your local uses on record |
| Email, Phone | Best contact details |
| Department | Where they work, e.g. Highway, Parks, Town Hall |
| Job title | Their title or classification |
| Member status | Active, On leave, Retired, or whatever statuses your local uses |
| Seniority date | Date of hire or seniority date, as YYYY-MM-DD |
| Shift | Days, Evenings, Nights, or your local's shifts |
| Assigned steward | The steward or rep who covers this member |
| Address, City, State, ZIP | Mailing address |
| Notes | Anything else worth knowing |
The second sheet, “How to use”, explains each column. Two example rows (fictional members) show the format; delete them before you add your own.
Tips for keeping a roster clean
- One member per row, one roster for the local. If three officers each keep their own copy, they drift apart within weeks.
- Use the same spelling every time for departments and statuses. “Hwy” and “Highway” will be counted as two departments.
- Write dates the same way. YYYY-MM-DD (2014-03-17) sorts correctly and imports cleanly.
- Keep a separate column for each piece of information. Don't put phone and email in the same cell.
- Review it after every new-hire list and retirement. A roster is only useful if it's current.
- Store it somewhere safe. Member contact details are sensitive. Don't email the file around or leave it on a shared computer.
Moving your roster into LaborWise
When your roster outgrows a spreadsheet, you can import this file straight into LaborWise. The importer matches these columns automatically, warns you about bad data before anything is saved, and skips members who are already in the system. Your departments, statuses and custom fields come along with it.
